Business Information Audit: Fix Wrong Details and Protect Private Addresses
A wrong phone number, outdated location or misleading business name can send a customer to the wrong place. An information audit should find and correct those practical problems. Do not assume that every punctuation difference is an AI ranking penalty.
Start with verified business facts
Create a reference record containing your current operating name, customer contact numbers, website, services, opening hours and location or service area. Identify who can confirm each detail. Include the review date and any platform-specific requirements.
Check the reference record against your actual operation before copying an existing listing. A Google Business Profile can contain an error too. Google's representation guidelines call for the real-world business name, accurate business information and a phone number under the business's direct control.
Keep address visibility appropriate
A service-area business that visits customers should follow Google's rules for hiding its address. Do not publish a residential address merely to make every directory display identical text. Review the address guidance and each platform's own requirements before changing visibility.
Distinguish a mailing address from a place where customers can visit. Keep an internal record of that distinction so future edits do not accidentally advertise a private or unsuitable location.
Prioritize errors that affect customers
- Find listings with disconnected numbers, an incorrect website or an old location.
- Check for another business's information or a duplicate profile that needs investigation.
- Verify current services, coverage, hours and credentials.
- Check whether formatting differences actually change the meaning before treating them as errors.
- Choose an accurate category from each platform's available options instead of forcing identical labels.
Record the public listing URL, the observed problem and the requested correction. If you use tracking numbers, confirm ownership, routing and the applicable platform rules before replacing them. An unexplained number deserves investigation; a different number is not by itself proof of an error.
Verify corrections and assign maintenance
Use the platform's correction process and check its review status. Google's edit guidance explains that edits are reviewed. Record submission and confirmation separately, then revisit the public listing to see what customers receive.
Assign an owner to update relevant listings whenever the business changes its name, contact details, hours or location. Keep a list of unresolved corrections and review them on a schedule your team can maintain.
Measure the outcome honestly
Document corrected errors and available customer activity. If you also monitor AI answers, record the provider, query, date and cited source separately. Do not attribute a citation change to a formatting edit without evidence, or promise that cleaning a fixed number of directories will produce a ranking increase.
